A company address, a trade-show conversation or an inquiry can start a customer relationship. Whether it becomes a realistic sales opportunity depends on the company, its needs, the people involved and the supplier’s ability to deliver.

A contact can mean different things
A company found in a database has initially only been identified. A trade-show visitor has spoken with the supplier. A procurement manager asks about delivery times. All three may matter, but the information supports different next steps. Marketing and sales should agree on what they call a lead and what evidence is needed before progressing it.

1. Does the company fit the offer?
Start with the company: what does it manufacture, which applications does it use and what role does it play in the supply chain? An industry label rarely answers those questions. A machinery builder, an integrator and a distributor may all be relevant to a component supplier, for different reasons.

2. Is the need inferred or confirmed?
A new production line, an equipment tender or a site expansion may suggest a requirement. That observation provides a research starting point. It does not prove that the specific product is needed or that procurement remains open.
A practical record should distinguish a suspected need, a need inferred from a source and a need confirmed through contact. Record the source, date and unresolved question for each signal. Sales can then investigate a hypothesis without treating it as an established opportunity.

3. What is the contact’s role?
A technical employee may assess an application, procurement may explain supplier onboarding, and management may authorize an investment. The relevant role depends on the project. The first contact need not make the final decision.
Forrester describes B2B purchases as decisions involving multiple internal and external participants. [4] Qualification should therefore establish who uses the solution, defines requirements, assesses suppliers and approves the purchase.
Several active contacts from one company can justify further investigation. Check whether they concern the same project. A single contact may already represent a concrete requirement. 4. Can the business be delivered in that market?
A suitable need has commercial value only if the supplier can meet the requirements. Depending on the offer, check technical standards, volumes, transport, installation, maintenance, spare parts and payment terms. For services, availability, ongoing support and the customer’s working arrangements may be decisive.
The International Trade Administration describes company assessments using business information, responsible executives, references and financial information, with direct verification in its comprehensive process. Where relevant, the export or compliance function should assess whether supply is legally permissible. The EU guidance on sanctions circumvention takes a risk-based view of business partners, ownership, goods, end users and transaction routes. A name check alone does not cover those questions. [8]
5. Which next step is justified?
BANT organizes budget, authority, need and timing as qualification fields. Salesforce also explains the limits of rigid application. [3] In early conversations, an unknown budget should be recorded as an open question. A need may be relevant before investment approval exists.

Fictional example: A German component manufacturer identifies a French machinery builder whose applications fit its offer. The company is initially a researched target account. A report about a new machine suggests a possible need but does not confirm it.
In conversation, a development engineer explains that a specific component is needed for a new model. The application and a relevant contact are now known. Technical requirements, volumes, purchasing arrangements and timing are then checked. If both parties agree on sample evaluation and the manufacturer can meet the requirements, a concrete sales opportunity exists. An order is still uncertain.
What a useful handover to sales contains
Include the company, application, contact’s role, confirmed statements, sources, open questions and the agreed next step. Reasons for exclusion or a later follow-up should also be visible. This makes the case for pursuing the contact understandable.
